Space Management Tool
A new tool has been developed in order to make room reservations for anyone on campus that would like to reserve any of the Bard College facilities. This new protocol will help you plan or view scheduled events before advertising. The space management tool will minimize double booking by displaying all available classrooms, the CAmpus Center, Kline Committee rooms, and various other spaces. This resource can be found at
space.bard.edu.

Please take a moment to look at the instructions and you will see how helpful this new tool can be when planning an event. Below are a few things to remember.

  • For best results try Internet Explorer for PCs or Safari for MACs and avoid using wireless routers not supported by the college.
  • The Space Management tool cannot be accessed from off campus at this time.
  • All users must include all contact numbers and a valid Bard e-mail account. If this information is missing, your event may be declined or deleted.
  • Requests must be submitted at least two business days in advance. Requesting space does not guarantee approval.
  • Any request over 90 days prior to an event will not be possible.
  • All users must provide as much detail about the event and resources as necessary, so please review your request carefully to ensure that the details are correct.
  • All controlled spaces such as Bard Hall, Chapel, Olin Auditorium and other performance or secure spaces will require additional approval and, in some cases, senior administrative approval.
  • All college-wide events that conflict with academic lectures or major performances will be reviewed by the Space Management Committee and senior administration.
  • The Residence Life office must approve all requests for residence halls (Manor, Robbins, Village A, and Tewksbury).
  • All summer programs, conferences, large fundraisers and performances must be submitted in memo format to the Space Management as soon as possible.
  • If you notice that a certain space is not indicated, please contact our office and we will explain how to reserve that space.
  • If you need to correct, cancel or change an existing request, e-mail space@bard.edu or call ext. 7880.
  • Please do not advertise your event unless your space is confirmed.
  • Press release information must be submitted to Mark Primoff at ext. 7412.

Campus Theater Availability and Scheduling Policies
The following protocols are in place to ensure the most effective use and management of the Weis Cinema. If you have any questions about these policies, please email
campuscenter@bard.edu.

  • Regularly scheduled (weekly) academic classes will only be scheduled if they are over by 6:00 pm. This allows space for the prime evening times to be available for various student, staff and faculty events and screenings.
  • Except in special circumstances, individual students are not allowed to reserve the theater for private screenings.
  • Student organizations, which are specifically film or video related get priority over other non-film specific clubs. These types of groups (Film Committee, Asian Film Club etc.) are able to reserve the theater on a weekly basis but may be asked to give up a night if there is a special college event requiring the use of the theater.
  • Unless prior arrangements have been made with the Campus Center Director, non-film specific student clubs will only allowed to reserve the theater once a month. The reason for this is that far too often the theater was reserved and few, if any, students showed up to watch the film(s) being shown... too much supply and not enough demand.
  • The theater is available for movie marathons and/or a regular series of nights for a specific event such as Domestic Violence Awareness Week. Please check with the Campus Center Office if you have questions about the availability of the theater for these types of events.
  • Clubs and organizations that have the theater reserved are expected to flyer/poster for their event on campus.
  • Clubs and organizations are not allowed to charge admission to any screenings without paying for licensing rights from the Motion Picture Association. If you have questions about paying for screening rights, please speak with the Campus Center Office.
  • Clubs and organizations are not allowed to post/advertise screenings on the internet without paying for screenings rights.
  • The Campus Center Office will provide, when possible, trained projection staff to run the theater for events at no cost to students, staff and faculty. If our projection staff are not available to cover your event, the AV department should be contacted for assistance.
  • Because we have to arrange for projection coverage, reservations for the Weis Cinema must be made five working days in advance.
  • The Weis Cinema is smoke-free.
  • As long as people are respectful of cleaning up their trash, food and beverages will be allowed in the theater.

Except for approved college events during the winter and summer breaks, alcohol is not allowed in the Campus Center.
